Business visit or short business training

Where to apply:

  • Residents of Mainland China can apply at the Embassy in Beijing or the Consulates General in Shanghai or Guangzhou, regardless of where their passport or Hukou was issued.

  • Residents of the SAR of Hong Kong and the SAR Macao can apply at the Consulate General of the Netherlands in Hong Kong.

The Embassy will check with the German Embassy and take a decision. (http://www.ulan-bator.diplo.de/Vertretung/ulanbator/de/07/schengen__unterbereich.html)

How to apply:

The main destination of your visit must be the Netherlands, but the visa issued will permit you to travel in all 25 Schengen countries (unless stated otherwise on the visa): Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, Norway, The Netherlands, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.

(The fee is to be paid cash in RMB at the exchange rate published at the Embassy/Consulate General)

Persons who had a visa for the Netherlands for the same business purpose in the last year:
  • can apply through a messenger of the company (with authorisation letter of the applicant)
  • do not need to show original business licence again
  • can ask for long term, multiple visas if required (decision up to the visa officer)

Companies with an office in both China and the Netherlands or Dutch companies with an exclusive partnership with a Chinese company, can send an information form by e-mail (download the form) to the Embassy or the Consulate General and apply for the "Orange Carpet Visa Facility program" for their employees, offering:
  • 24 or 48 hours decision
  • Limited documents to supply
  • No application in person
  • No need for appointment
  • Long term, multiple entry visas, if required

Persons who had two Schengen business visas in the last two years can apply through a messenger of the company (with an authorisation letter of the applicant).

Holders of diplomatic, service or public passports can apply through the MFA messenger (with a letter of MFA).

Decision:
The decision can be picked up after 3 working days, if the application is complete.

It is, however, advised to apply earlier in case more documents from the applicant or the referent are needed. If you can not pick up the decision yourself, you can give your pick-up note, with the completed and signed authorisation letter on the back side, to another person. The decision can be:

  • If the visa has been approved, Passport with visa will be issued;
  • If additional documents are needed, Passport can be left or taken back with a list of missing documents and a delay. If the file is not completed, the visa may be refused.
  • If the visa has been refused, Passport is given back with an official refusal letter. You can apply again or appeal against the decision, following the instructions in the refusal letter.
  • If the application has been sent to the authorities in the Netherlands for decision, Passport can be left or taken back. You will be contacted when the decision has been received. (This generally takes 2 to 4 weeks, with a maximum of 3 months.)

A visa does not automatically give you the right to enter Schengen territory. Make sure you keep a copy of the documents you submit with your visa application, for you may be asked by migration officers to provide this information in addition to your valid passport, visa and medical travel insurance.

How to read your visa sticker:

  • When you pick up your visa, please read it carefully and inform the counter officer if you find an error. Correction of any errors discovered after leaving the building, will require new visa registration and payment of new handling fee.

  • The validity of your visa indicates the dates between which you should enter AND leave the Schengen.

  • The length of your stay in the Schengen area is limited to the number of days indicated on your visa, even if your visa-sticker has a longer validity. If you overstay, you risk a two year visa sanction for all Schengen countries.

  • If you have a multiple entry visa with a validity of one or more years, the maximum number of days indicated on the visa sticker, will always be 90 days. This only means that, if you travel frequently, you may never exceed 90 days within a six month period.
NOTE: If you need to stay in the Netherlands more than 90 days per six months, you must apply for a Temporary Residence Permit (MVV).

  • If the code "BNL5 + 3d" is printed at the bottom of your visa sticker, this means you must report to IND (Immigration and Naturalisation Service) in the Netherlands within 3 days after arriving in the Netherlands. (Any other BNL-codes only inform Schengen authorities about the type of visa you have.)

Objections:
The visa officer may decide not to issue a visa, or issue a visa with a different validity than requested.
All the information about how to object against a refusal is indicated in the official refusal letter. There can be no discussion with the visa department about refusals.
If a different visa was issued than requested, and the issued visa does not cover you business needs, you or your referent can send an e-mail to the visa department. However, you may have to pay handling fees again if the decision is revised.
